New Policy and Digitization to Optimize a Critical Business Process

The Challenge

After acquiring its competitor and doubling in size, a multinational firm implemented a rash change in its legal process resulting in a significant bottleneck in obtaining legal approvals under Delegations of Authority. The backlog of requests delayed new contract completion and hindered revenue generation. Furthermore, legal resources were not being sufficiently utilized which capitalized time that could be better spent partnering with operations on more complicated deals.

Our Solution

To eliminate the bottleneck, geographies were first asked to outline key triggers causing delays. Then the team determined types of blanket approval could be put in place to address these risks. A new contract review application was launched to replace a complex, paper-based process with one, short intuitive online form accessible by geographically dispersed regions.

Results

The contract review process was simplified and streamlined across the organization. The digitization enabled automated email updates to keep project contacts updated on the status of a contract review, centralized task management for easy and efficient workload allocation across all regions and the creation of a contract review library promoting greater consistency and efficiency.
